Everyone knows that Export business are long process from purchasing to shipment, participants especially suppliers should be professional . There are lots of things from beginning to ending. each step need to be well controlled. I have doing export work for more than 8 years, so I would like to talk about a small topic with regard to sample.

Pls imagine a situation like this, your sample lost during transportaton or have been succeed to delivered to your clients while it can’t be recognized. Order would be pass owinig to above things happen.

The following tips may help you solve this issue:

1. Check quality

Never send out sample before you try it. Product details like size, weight, color, material, function should be tested before you send it out. Usually I will take a function video of the product before I send sample to my client.

2. Take pictures

This movement sometimes help you a lot. If you only have one sample on hand, you won’t have any information once order confirmed. And when buyers check details with you, you can find out pictures to confirm.

3. Hang tag or sticker

with description like price, item No, company name, descriptions

This behavior helps your client’s time on looking for your sample from plenty of samples from different suppliers. And it is also easy for them to make a record on the computer.

4. Well packed

One of my client ask me never send out sample without any packing. Because he has to show them to visitors who come to their showroom or booth, it helps increase interest if sample with packed with nice color box or display box. Another function are keep the sample damage from transportation.

5. Put a name card with quotation attached

This is a good sells channel which will leave a good impression to the clients. Especially useful for new clients.

6. Company catalog

Some clients won’t have time to review your website. So you have to create more chance to let your client know you and your company. Catalog is not very cheap but effective way to get more chance.

7. Related top selling samples

Some clients won’t choose new items from your sample, they will only choose order from sample. So you can prepare more similar items except the indicated one. Each year I will send recommended Christmas/Halloween sample to our clients. This behavior helps me get extra 10-30% percent order.

8. Offer sample list

When you clients ask for hundreds of sample, it is easy to miss several of them.

So my suggestion is make a excel list with sample status and update process of the sample to your client every two days. Clients will know when sample will be ready and will save a lot of communication time on pushing sample. The more work we do, the less work client need to do.

9. Offer tracking No.

Once sample send out, remember to inform tracking No. So they will know when sample can be arrived and arrange order in advance.

10. Following delivered schedule

Sometimes sample will be controlled by customs owing to too high amount or too much big volume, you need to follow closely and help your clients doing customs clearance. If you not follow, sample maybe get lost.
